Month End vs. Year End

There always seems to be some confusion at Year End about the Month End/Year End maintenance processes so it is probably worth some effort to try and clarify these functions.
The month end maintenance process moves and resets several counters in Share and Draft files as well as the ATM transaction count totals.
Year End maintenance, on the other hand,  moves all the year to date (YTD) values to Last Year to Date (LYTD).  This is important to ensure that Statements and IRS reporting are correct.

The Month End maintenance process needs to be run at every month end including December.
The Year End maintenance needs to be run in December in addition to the month end maintenance.  Every December we send out a memo reminding you where in your processing you need to run the year end maintenance so watch for that memo and call CUDP if you have any questions about this.

SonicWall Firewall Firmware Upgrades

Your SonicWall firewall is your main defense against attacks on the public internet.  CUDP works hard to ensure that your firewall continues to provide the security necessary.  Besides setup and monitoring issues, this is accomplished through upgrades either to the firmware on an existing Firewall or upgrading the firewall itself.  CUDP provides the support for your firewalls under your Annual Support Contract with no extra charges for this service.  We have mentioned in past annual meetings that there will come a time when we will need to purchase support from SonicWall to enable us to keep up with current firmware releases.
Although we have been keeping everyone up to date so far, we need to ensure that we are doing this through approved channels with SonicWall

and supporting their ongoing development for firmware changes.  In the past, SonicWALL wanted us to purchase a full support contract for each Firewall even though we provide the day-to-day support to you.  SonicWall has now adapted to vendors such as CUDP and now provides support contracts for software and firmware updates only at much more reasonable prices (from $90 to about $260 annually depending on your firewall).  They also offer discounts for purchasing multiple year contracts.  CUDP will be requiring our credit unions to purchase this support in the future to ensure that we always have the latest firmware available.  Watch for specific pricing information that will be coming that will allow you to select a plan that will be best for you.

CU-TIP:   LARGE CHECK TRANSACTION REPORT!
We recently added a new SBA compliance tool, it is the "Large Check Transaction Report" and the "Structured Check Report".  These are identical to the Large Cash and the Structured Cash reports except the work on checks rather than cash.  These are reports you should be looking at DAILY for your SBA compliance.  The parameters for the report are set in the CUCUIF on page 5 in the bottom left corner.  Each report has its own parameter so you can set different minimums for each report.  Give us a call as we are more than happy to set these reports to print automatically for you at End of Day.

Document This

CUDP is beginning to provide on-line documentation.  Our first area to have documentation is the new Accounts Payable Module which is already active on your system.  We will be adding other areas in the future utilizing volunteers in our credit unions to write and update  the documentation.  To access documentation, you just press shift-F1 from the menu or within a function.  If the documentation for that area is available, it will pull that up for you.  The system will also open up a companion document with

CU specific notes for any area.  You can actually move existing documentation you have done to this area to make it available on-line in the system.  Watch for future articles with more information or contact CUDP to start moving existing documentation into the system now.  Also if you would like to be a volunteer to write documentation for everyone's use, please contact Brad at CUDP.  (brad@cudp.com)
